Data Submission
HCP and AN-SNAP data must be provided to AHSA within 42 days of the end of month of discharge. A schedule of Due Dates is provided below to assist hospitals in meeting this deadline.
All data must be sent to AHSA via the AHSA Secure Data eXchange (SDX) once registration has been confirmed by the AHSA Data Team. The data should be in .txt format and contain episodes for Insurer/Payer codes listed here.
DO NOT send data for AHSA member funds directly to individual funds.
Some AHSA member funds have a number of corporate plans or underwrite other health funds products. Regardless of the corporate plan or underwriting fund, the appropriate AHSA member fund HCP code must be used in the Hospital Casemix Data. A list containing HCP fund codes for all AHSA participating funds including details of many of the funds underwrite and trading names is available to assist hospitals with this can be found here.
HCP reporting requirements are legislated by PHI legislation which allows for remedial action to be initiated where these requirements are not met.
Please note that these are compulsory reporting requirements therefore facilities should contact AHSA Data Team if there are any issues that are affecting their ability to meet these requirements
Due Dates for Data Submission
It is a legislated requirement that all admitted episodes for a given month be provided by hospitals to insurers within 42 days at the end of month of discharge.
The due dates apply to the reporting of hospital HCP data as well as hospital HCP AN-SNAP data.

What is the Secure Data eXchange (SDX)?
The Secure Data eXchange (SDX) is a system created to send and receive data safely & securely between AHSA and other organisations such as funds and hospitals. SDX has replaced the previous method of sending and receiving sensitive data via email. SDX works by posting data on to a secure SSL encryption protected website. SDX emails users when data is requested by AHSA.
What are the advantages of SDX?
SDX encrypts data automatically without the need for additional software. It allows for tracking of files enabling AHSA staff to monitor who has sent data. SDX automatically follows up on any overdue data prompting recipients via email.
How is SDX being used?
SDX is used between AHSA, AHSA funds & hospitals to transmit HCP & AN-SNAP Data to AHSA. The SDX ensures that this sensitive information is transmitted securely between the parties.
How do I use the SDX?
In order to have access to the SDX you first need to register and be authenticated by the AHSA Data Team. Once you have been authenticated, you will be able to upload data.
